As the Executive Assistant to the Chief Executive Officer, this role requires the ability to act as an extension of the Chief Executive Officer and anticipate needs - constantly forward planning and prepping logistics, information, material and people in advance of schedule. Candidates must have a proven track record in supporting executive level management in a fast-paced growth environment. Success in this role will include managing time effectively while exercising superior judgment. Candidate must have the ability to quickly learn organizational structure, industry specific knowledge and team objectives to adapt to the QMA values and vision.
Support the CEO by managing all day-to-day matters including but not limited to preparing and coordinating communications, calendar management, meeting logistics for internal and external appointments and facilitating changes to daily events as necessary.
Effectively represent the office of the CEO and act as a business partner to CEO and Senior Management Team
Organize and maintain calendar - schedule large and/or complex meetings with key clients or high-level executives
Organize and manage international and domestic travel arrangements, coordinate itinerary details and expense reports; proactively mitigate unforeseen changes.
Prepare and produce complex spreadsheets and/or PowerPoint presentations as required
Produce letters, memoranda, presentations, reports, and analysis
Professional representation and handling of all phone communications and in person guests
Email management - flag important correspondence and identify priorities. Use judgment when responding to low risk items on behalf of CEO
Streamline and organize data and documentation –with a keen eye for detail and maximizing efficiency
Grow into a larger resource for the CEO able to communicate across teams about priorities and strategic objectives
